Minimum Requirements

  • Grade 12 certificate
  • Knowledge of administrative and clerical procedures
  • Understanding of Public Service Regulations
  • Good customer service etiquette and telephone etiquette
  • Strong communication (verbal and written) and interpersonal skills
  • Good listening and writing skills
  • Basic problem-solving and analytical skills
  • Computer literacy (MS Word, Excel, email, internet)
  • Ability to work under pressure
  • Strong sense of accountability and ethical conduct
  • Client-oriented with a focus on customer service

Key Responsibilities

  • Operate the switchboard efficiently by answering and managing incoming calls
  • Handle both internal and external enquiries professionally
  • Maintain office filing systems and records
  • Direct clients to the correct departments or personnel
  • Take and distribute messages accurately
  • Provide basic information about departmental services
  • Keep reception area clean and organized
  • Receive and guide visitors to relevant offices
  • Maintain and update the internal telephone directory
  • Compile and submit monthly reports
  • Record all photocopying and printing activities
  • Report faults on telephone systems and office equipment
  • Liaise with ICT for technical issues
  • Monitor telephone usage and generate reports
  • Ensure telecommunication accounts are up to date
  • Perform additional duties as assigned by the supervisor
